A practical guide
What is a digital asset passport?
A digital asset passport is an organised digital record about an item: what it is, the documents associated with it and what has happened to it over time. In this guide, “asset” means a belonging or piece of equipment, not a cryptocurrency.
For anyone comparing ways to organise belongings, and for teams deciding how to keep useful product or equipment records.
Start a Passport for one itemWhat makes a record useful?
A practical passport connects three things: identity, evidence and history. Identity distinguishes the item. Evidence explains where a claim comes from. History puts purchases, maintenance and repairs in order.
For a household appliance, that may mean its model, purchase receipt, warranty terms and a repair invoice. For a car, it may include dated service events, recorded mileage and supporting receipts. The record becomes more useful when those entries are clear, consistent and kept up to date.
- Identify the exact item rather than only its product family
- Keep the source and date with important information
- Distinguish a personal note from evidence supplied by another party
How is it different from a folder or spreadsheet?
A folder stores files, while a spreadsheet stores rows. Both can work well. An item-centred Passport connects details, files and dated events to the same object and provides a purpose-built view for returning to them.
The difference matters when you need context: which repair does this invoice support, which warranty belongs to this device, or what information is appropriate to share with another person? A Passport is valuable when it reduces that reconstruction work.
Personal records, EU product passports and travel documents
These terms describe different purposes. A personal asset passport helps someone organise a belonging. An EU Digital Product Passport is part of a regulatory approach to product information, sustainability and circularity, with requirements depending on the relevant product group and legislation. The European Commission’s explanation is linked below.
A government travel passport identifies a person for travel. An IDee Passport is not a travel document, and IDee does not claim that its personal records constitute certified EU DPP compliance. A similar name does not establish equivalence.
Where IDee fits
IDee brings an item’s details, Proof Vault documents and history into a Passport. You can build a record gradually, then use selected sharing controls when you need to present information to somebody else.
The quality of the record still depends on its sources. A complete-looking page is not proof that an item is authentic, that all events were recorded or that the person entering the information holds legal title.
From the first step
How to get started
Start with a useful item
Choose something with documents you need to find again, such as a device with a warranty or a car with service records.
Add a small reliable foundation
Enter its identity, attach a receipt where available, and record one dated event. Avoid guessing missing facts.
Maintain and review
Add changes when they happen, keep sources clear and review every view before sharing it.
What to keep in mind
No record format automatically proves authenticity, legal ownership or regulatory compliance. Distinguish who entered a statement from who independently checked it.
A shared link is a distribution choice. It should not be treated as consent to publish every underlying document or index personal information in search.
Common questions
Do I need every document before starting?
No. Start with what you have, identify missing information and add reliable material later. An honest partial history is more useful than invented completeness.
Can a passport replace the original warranty?
It can help you locate warranty information. It does not change the issuer’s terms or determine what evidence the recipient will accept; retain originals where needed.
